Purpose of the Job
The Office Manager will be based in our Manila office, supporting the Global Real Estate + Workspace Strategy to achieve company objectives, including administration and facility management across all Asia Pacific offices.
Key Responsibilities:
- Serve as the main point of contact for internal and external office-related matters.
- Induct new employees, explaining procedures, functions, and expectations.
- Monitor site compliance for Health and Safety, Intelligence, Surveillance, and Reconnaissance (ISR), disaster recovery, and business continuity. Ensure plans are compliant with company standards, maintaining emergency response plans and fire drills.
- Manage and oversee office supplies inventory, ensuring costs are monitored and controlled.
- Liaise between Group Real Estate and local contractors for major site developments, including office moves, expansion, and additional fit-out. Liaise with contractors and management to ensure costs are approved and timescales are met.
- Support and coordinate office events and engagement activities.
- Supervise cleaning, security, parking, couriers, and maintenance services, ensuring high standards and timely handling of requests.
- Maintain office equipment such as printers, water dispensers, and coffee machines.
- Build and maintain relationships with external stakeholders, including landlords, contractors, and service suppliers.
- Ensure the office environment is maintained and managed.
- Organize maintenance and servicing of office equipment, addressing damaged items promptly.
- Handle mail reception and dispatching as needed.
- Manage accountancy issues in partnership with internal departments.
- Act as a culture advocate, supporting the values of the business.
- Be responsible for office supplies, including stationery and refreshments.
Knowledge, Skills + Experience
- Previous experience in office management and facility management preferred.
- Strong organizational and negotiation skills.
- Proactive with excellent communication skills (written and verbal), fluent in English.
- Understanding of commercial relationships and their impact on company performance.
- Ability to handle pressure, prioritize tasks, and meet deadlines.
- Attention to detail and high standards in all areas.
- Dynamic, professional, and flexible.
