Purpose of the Job
This role will play a key part in supporting the HR EMEA function in delivering a succinct, timely, and professional HR administrative services to the internal business. Working as part of a HR Administration Team, this role will take responsibility for the operational aspects of the employment lifecycle, maintaining accurate HR data, and assisting with coordination of regional HR initiatives.
This role reports to the HRD and will act as a reliable point of contact for EMEA colleagues and stakeholders, contributing to a high-performing and collaborative HR function within a global business.
Key Responsibilities
- Manage the new starter process; from offer stage through to probation completion (includes producing offer letters, employment contracts and managing the background checking process via a third party provider).
- Produce colleague contract change letters, liaise with managers as appropriate and undertake any follow up activities including updating the HR database.
- Manage the leaver process including responding to resignation letters, liaising with payroll, updating HR database.
- Maintaining the HR system with starters, leavers, changes, background checks, holiday entitlements and more.
- Ensure that all HR files including colleague files, are set up, maintained and closed/archived in line with GDPR or local data protection legislation, whilst ensuring data integrity on HR systems and HR files.
- Deal with day-to-day administration queries from colleagues, stakeholders and provide general administrative support.
- Handle Family Friendly leave requests (includes advising, writing letters, updating system and payroll team).
- Manage the incoming invoices for the HR team, ensuring they are processed and approved in a timely manner.
- Produce monthly standard reports or ad hoc reports for the business in the absence HR Systems and Reporting Analyst.
- Maintain (and produce where necessary) HR Standard Operating Procedures (SOP’s) for all HR administrative duties.
- Maintain and produce templates when required.
- Act as a system super user for the HR System , Employee Self Service and Learning Management Systems, assisting colleagues with ad-hoc system based queries and supporting system development/issues and related projects.
- Support the HR EMEA function with ad hoc projects and provide general administrative support.
- Ensure HR correspondence is promptly dealt with in line with all of our key people processes.
Knowledge, Skills + Experience
- Fluent in English + Czech Language
- Previous experience of HR administration is essential.
- Previous experience of working a high-demanding, busy role is essential.
- Previous experience within a global business would be an advantage.
- Strong IT skills with a good working knowledge of Microsoft Word, Excel and Powerpoint.
- Highly organized and methodical with excellent interpersonal skills.
- Able to work with autonomy and be responsible for their own workload.
- Flexible approach to work, with the ability to question the status quo.
- Able to work on own initiative and prioritize competing demands.
- Knowledge of GDPR and data protection, with the ability to apply this to day to day activities.
