Purpose of the Job
The objective of this position is to ensure efficient management and organization of the HR archive, enabling quick and clear document retrieval. The temporary worker will play a key role in optimizing the archival system, thereby contributing to greater efficiency in HR processes.
Key Responsibilities
- Sorting and Categorizing Documents
- Analyzing the existing archive and identifying inefficiencies
- Organizing materials according to internal HR department standards
- Implementing a logical structure for easy access
- Digitization and Management of Electronic Records
- Converting printed documents into digital format as required
- Organizing the digital archive, including folder structures and file labeling
- Ensuring data protection and compliance with GDPR
- Maintenance and Updates of the Archive**
- Reviewing outdated documents and proposing solutions for storage or disposal
- Recording important HR documents with timestamps
- Collaborating on the implementation of automation tools
- Collaboration with the HR Team
- Communicating with HR specialists regarding archival needs
- Assisting colleagues in retrieving specific documents
- Suggesting improvements to archival processes
Knowledge, Skills + Experience
- Ability to work with documentation systems– e.g., SharePoint or other database tools
- Fluent in English
- High School education
- Organizational abilities – capability to efficiently sort, store, and manage documents
- Attention to detail and accuracy – working with archives requires precision and a systematic approach
- Basic administrative knowledge – familiarity with HR documents, policies, and archival procedures
- Technical proficiency – ability to work with digital archives and office tools (e.g., MS Office, internal systems)
- Teamwork skills – collaboration with HR specialists on archive organization
- Discretion and respect for sensitive information – working with personal data requires a professional approach
